Short answer
You only notice a relationship going quiet if you can see when you last talked. Local CRM groups contacts by their latest logged interaction (the last 7, 30, 90 or 180 days, or longer), counts a contact as lapsed after 90 days without one, and suggests reconnecting with people you've talked to at least twice but not in the last 30 days. Since the numbers depend on logging, calling or emailing from Local CRM offers to log it in one tap.
An address book is a list of names, not a history. The client you haven't spoken to in four months looks exactly like the one you called this morning. Calendars show what's coming and inboxes show what's recent, but nothing shows what has stopped. By the time you notice a quiet relationship, it has usually been quiet for a long time.
Silence doesn't show up anywhere#
Most tools are built around events: a meeting, a message, a reminder. Silence is the absence of events, so it never appears on its own. To see it, you need one date per person, the last time you were in touch, and a way to compare those dates with today.
That date is easy to state and hard to keep. It has to come from somewhere: the calls, emails, meetings and messages you've actually had.
Make the last conversation visible#
Local CRM keeps a timeline on every contact, with the calls, emails, meetings and messages you log. From those entries, Insights works out one date per person, the most recent interaction, and sorts everyone you've been in touch with into five groups:
- in the last 7 days
- 8 to 30 days ago
- 31 to 90 days ago
- 91 to 180 days ago
- more than 180 days ago
1 Last 7 days
2 8 to 30 days
2 31 to 90 days
2 91 to 180 days
0 More than 180

Two thresholds: a month and a quarter#
Insights turns those groups into two short lists you can act on:
- Lapsed contacts: people with at least one logged interaction, but none in the last 90 days.
- Reconnect with: people with two or more logged interactions and none in the last 30 days, the most-contacted first.
Both thresholds are plain on purpose. A month and a quarter are spans everyone already thinks in, so “lapsed” means the same thing to everyone who reads the number, and nobody has to configure anything before it's useful.
The two-interaction rule keeps the reconnect list honest. Someone you met once at a conference isn't someone you're drifting away from. Two or more logged interactions means there was a relationship to keep up, and those are the people the list puts first.
Never contacted isn't lapsed#
Contacts with no logged interactions don't count as lapsed. They're counted on their own, as never contacted. Mixing the two would make the lapsed number meaningless the day you import a few hundred people from your address book, most of whom you've never logged anything with in Local CRM.
Logging has to take one tap#
Every number above depends on the timeline being complete, and nobody keeps a log that takes effort. So Local CRM puts logging where the conversation starts.
Tap a phone number on a contact and Local CRM starts the call: through Phone on iPhone, and FaceTime or Continuity on iPad and Mac. Tap an email address and your mail app opens. Either way, Local CRM then asks: Log this call with Olivia Bennett? One tap adds it to her timeline, dated and typed, and she moves back to the first group in Insights.
You can add meetings and anything else by hand, but the everyday calls and emails, the bulk of most timelines, cost a single tap.
A weekly habit, in three steps#
- Open Insights and look at Reconnect with.
- Pick one or two names, and call or write from their contact in Local CRM.
- Tap Log when it asks, so next week's list knows.
Insights is part of Local CRM Pro; the timeline and one-tap logging are on every plan. Finding the person in the first place is its own problem: search has to work however their name is typed.
Questions this note answers
- When does Local CRM count a contact as lapsed?
- When you've logged at least one interaction with them, but none in the last 90 days. Contacts with no logged interactions at all are counted separately, as never contacted.
- How does Local CRM choose who to suggest reconnecting with?
- It lists people you've logged two or more interactions with and haven't talked to for more than 30 days, starting with the ones you've talked to most.
- Do I have to log every call by hand?
- No. When you call, message or email someone from Local CRM, it asks “Log this call with Olivia Bennett?” and one tap adds it to their timeline with the date filled in.
- Is Insights included in the Free plan?
- No, Insights is part of Pro. The timeline and one-tap logging that feed it are on the Free plan.
